Introduction

Clayton le Moors Freemasons' Hall Ltd., (CLMFH) located at the above address is the umbrella for Freemasonry in Clayton le Moors and provides the facilities to enable the meetings of members of Masonic Lodges, Chapters and other Degrees in Freemasonry who are members of the CLMFH.

Definitions

CLMFH - Clayton le Moors freemasons' Hall

Masonic entity - Lodges, Chapters, Conclaves, and other Masonic Degrees.

Your data

This notice is for all Freemasons who are members of CLMFH. It applies to the processing of your personal data by CLMFH.

This notice sets out the purposes for which CLMFH will use your data.

Please note that your personal data will also be processed by the Lodge Secretary, Provincial Grand Lodge, and the United Grand Lodge of England as data controllers and so you are also referred to their respective Data Protection Notices.

Use of your personal data by CLMFH

These purposes may include, but are not limited to, the following purposes:

  • To communicate with members.
  • By law we must hold details of our membership.
  • Assessing the numbers of members of each Masonic entity using CLMFH's facilities.
  • Registering those members as members of CLMFH and members club.
  • Enabling CLMFH to set annual levies for members and Masonic entities, to maintain the effective running of CLMFH, heating, lighting, power, and maintenance of CLMFH.

Please contact the Data Protection Officer in writing at the above address if you wish to:

  • Object to CLMFH processing your data.
    • Note: CLMFH is unable to delete personal data due to legal requirements whilst you are a member of any Masonic entity meeting at CLMFH.
  • Request access to your data.
  • or Request rectification of your data.

The legal bases on which your personal data will be used in accordance with this section are:

  • The legitimate interests of CLMFH as a not-for-profit membership organisation.
  • The fulfilment of contractual obligations owed to members by CLMFH.

Data Protection Policy

This data protection policy regulates how CLMFH processes and stores personal data of its members. Its purpose is to ensure that CLMFH complies with the law and with the high data protection standards the law requires and is compliant with the introduction of the General Data Protection Regulations.

In this policy, "personal data" means any recorded information which identifies a living individual.

Purposes

As a membership organisation CLMFH, retains personal data of its members for the purposes set out in the Data Protection Notice. Where CLMFH employs or contracts with a member it may also process, retain, and share personal data of that member for all lawful purposes related to that employment or contractual relationship.

CLMFH shall not collect or store personal data of members for any other purposes.

Appointment of a Data Protection Officer

CLMFH has appointed the Treasurer as the Data Protection Officer who is responsible for overseeing compliance with data protection law and will act as the single point of contact for members.

Members' data rights

A member may request that the Data Protection Officer:

  • Provides him with a copy of all personal data that CLMFH holds about him. The Data Protection Officer shall promptly provide a copy of all information required to be disclosed by law.
  • Rectifies any incorrect personal data held by CLMFH about him. The Data Protection Officer shall promptly consider such a request and respond to it in accordance with the law.
  • Stop CLMFH from some or all its processing of his personal data. The Data Protection Officer shall promptly consider such an objection and respond to it in accordance with the law and terms of its data collection.

Deletion of personal data

A member may resign from his Masonic entity at any time. After the Lodge Secretary has processed such a resignation the Lodge Secretary shall notify CLMFH of such resignation who will delete the personal data that it holds about that member as set out in the Data Protection Notice.

Sharing data with third parties

CLMFH will not share personal data of members for any third party for any reason unless it has the consent of the relevant member or on the presentation of a warrant from a law enforcement agency.

Data Protection Notice

CLMFH shall publish a Data Protection Notice so that it is available to members. The Notice shall comply with the requirements of data protection law and among other things, shall inform members how CLMFH will use their personal data and how they may contact CLMFH's Data Protection Officer.

Data Security

CLMFH shall periodically review the security of its records and processing activities and shall take appropriate steps to ensure the confidentiality, integrity, and availability of personal data that it holds.

Registration with ICO

CLMFH does not have registration with the ICO as it is a not-for-profit membership organisation.
